Continuous project planning through automation: A new approach to project planning

The PlanMinder is a new way to handle project plans. It uses automatic scheduling to keep the plans up to date at all times. And it tracks uncertainties calculating how likely it is that you will meet your deadlines. The goal is to have better plans with less work.

Creating a project plan requires some work. Keeping it up to date requires more work throughout the project. With The PlanMinder you don’t have to constantly update the plan, the tool does that for you.

With continuous project planning, the plan and the schedule are separated. The project is divided into activities, with information on how they depend on each other. All activities are given a time estimate with uncertainty, and are assigned to team members.

The automatic scheduler can then combine the plan with project priority and team availability information to create a schedule that can be updated after every change. Team members report the work they do and how their estimates change as work progresses. 

“The automatic scheduler saves you a lot of time, but the probability calculations is what makes this a powerful tool.” explains Martin Forsberg, one of the co-founders. “You can monitor the probability that your project will meet its deadline. If it becomes uncomfortably low, you can quickly test what counter measures are most efficient to get you back on track.”

“The background is from product development in embedded industrial electronics.” says Martin. “These teams require many types of specialists, and activities that need to be done in a certain order. Coordination is essential. And as different specialists are required in different stages, running several projects at the same time, with shared resources, becomes natural.” The PlanMinder provides tools to optimize for the overall goals, not just for individual projects. 

“The way The PlanMinder handles time estimation and uncertainties is designed to help mitigate the natural over optimism that is a frequent problem in project planning.” says Ronja Frimalm, the other founder with a background in cognitive science. “No one likes bad news, but The PlanMinder produces one cold probability number based on all the small individual estimates. This is harder to ignore and hide, and managers will have more time to do something about problems when they occur.”
